MEMBER RETENTION STRATEGIES

Make Meetings More Efficient

  • Reduce frequency/duration of full-group meetings
  • Ensure meetings are productive (e.g., follow the agenda closely, agree to move on if "stuck")
  • Relegate the bulk of work to committees so the full group can focus on pertinent issues

Make Meetings More Enjoyable and Comfortable

  • Conduct exercises such as icebreakers that are fun and encourage members get to know each other
  • Offer "bonding" activities (e.g., shared meals, "social time," retreats)
  • Hold meetings in "neutral" settings (i.e., outside health departments)
  • Hold meetings in pleasant meeting facilities (e.g., local resorts)
  • Break the large group into smaller groups so participation is not as intimidating
  • Require individuals who wish to speak to raise their hands and put their names on a waiting list so that everyone has a chance to speak
  • Find alternative ways to present "dry" material (e.g., use game show format)

Address the Needs of New Members

  • Offer comprehensive orientation programs
  • Assign mentors or "buddies" to new members
  • Call new members after their first few meetings to encourage them to continue attending enhance members’ sense of ownership and investment in the process
  • Let members take turns facilitating meetings
  • Ensure that all members are assigned to a committee or "task"
  • Reward members who attend meetings regularly by paying their expenses when they attend local and national conferences

Identify and Respond to  Members’ Concerns About the Planning Process and the CPG

  • Disseminate evaluation forms after each meeting and address concerns ASAP
  • Conduct exit interviews to identify and respond to members’ reasons for leaving

Enhance Members’ Skills

  • Provide training and educational sessions on an ongoing (not one-time) basis
  • Give as many members as possible the opportunity to attend local and national conferences
